access level sales representative (full access), broker (full access), manager (full access) module leads lead card the sales section allows users to manage all quote related activities, including creating, editing, sending, and tracking estimates it also provides access to underwriting and enrollment tools to begin onboarding key subtabs include quoting , submissions , deals , underwriting , and enrollment questionnaire βeach representing a step in the signup process quoting this workspace has two sections quote history and quote configuration ; both help users view and make changes regarding the customer's quote β οΈ warning β new functionality users can now send quotes using payroll frequencies of weekly, biweekly, semi monthly, and monthly important the system internally calculates all payroll values using weekly equivalents when selecting βbiweeklyβ as the pay frequency, entered payroll amounts will be automatically converted to weekly values for processing and reporting accuracy the user interface will still display βbiweeklyβ to maintain visual consistency with the selected frequency a confirmation prompt will display βhold on a second! the system converts biweekly payroll amounts to weekly values for internal calculations while keeping your biweekly display setting do you want to continue?β quote history the quote history section displays all past and current estimates generated for a lead under the actions column (via the send/view button), users can view β open full quote details signed quote β download the client signed quote signed tms β download the signed 2 minute signup form send/reminders (2ms) β send or resend the quote to the client send pdf quote (skip 2 min signup) send quote and skip 2 min signup send pdf quote β email a pdf version of the quote plus to 2 min signup back to back only for enterprise and whiteglove clients download pdf quote β save a local copy not signed activity β view action history for the quote archive β remove the quote from active view submit to uw β (active quotes only) send to underwriting for review send one time payment β (active quotes only) send initial cost form for payment collection beneath the grey scroll bar, there are 3 fields with dropdown menus semibundled, ocmi, and no cutoff select the appropriate option for each and then select create new quote to finalize once finalized, the quote will appear in quote history in the bottom most option β οΈ warning when januscrm sends out documents, it uses the information from the quote that is labeled active sending a quote step by step https //kb getjanus io/sending a quote to a client https //kb getjanus io/sending a quote to a client quote configuration beneath the quote history , the quote configuration section allows brokers to configure rate estimates for the customer most of the fields, besides workers comp rates & quote state , have to be typed in manually workers comp rates & quote state both have a dropdown arrow; select the correct value to fill in the information once the user fills out the workers comp rates, quote state, add a new code, employees, weekly payroll , and selects add to finalize everything, the new rate will appear beneath workers comp rates β οΈ warning if a needed code or rate isn't available, brokers can manually add it using the "add rate manually" button supported states the system now supports suta calculations for all 50 states, with rates updated quarterly to ensure compliance with state regulations submissions in this space, users can see the history of submissions to underwriting and download the submission using the downlad icon need to the broker column deals in this space, users can see the past deals, or past signed quotes, that have been agreed on with the customer users can also view the details of the rates by selecting the % icon such as description of job, code, rate, employees , and payroll information no action can be taken inside ; it's just for viewing and informational purposes the pdf icon next to the % icon allows the user to download all the relevant information pertaining to the quote given by the brokers underwriting questionnaire in this space, users can update information pertaining to the customer selecting the percentage value in one field will affect the other side, since the total value has to equal 100% the rest of the questionnaire can be completed by selecting yes or no the other field must be filled in manually by typing in the necessary information once completed, select submit se ccp in the upper right corner of the space to submit and finalize all work enrollment questionnaire in this space, users can review the enrollment questionnaire(s) that the client completed during their onboarding process with their enrollment advisor if the client is a reinstatement , multiple questionnaires may be available for review to view a questionnaire, select the desired entry a modal will populate, displaying the completed questionnaire submitted by the enrollment advisor changes to a completed questionnaire can only be made by admins or the it department to request changes, please open a ticket or speak with your manager β οΈ warning updates made in this section will impact both the new client data dashboard task and the payroll customer profile if the client status is bound , changes to the enrollment questionnaire are no longer required instead, make any payroll related updates directly in the payroll tab of the payroll customer profile or through the payroll dashboard escalation process level 1 it help desk quote generation failures email template problems rate database issues system calculation errors how to submit an it help desk ticket π tip see how to submit a support ticket for detailed instructions quick reference navigate to help in the navigation bar select it help desk include customer name, quote details, error messages screenshot quote configuration note carrier and state next steps after managing the sales process for a customer enrollment tab continue the onboarding journey underwriting dashboard submit for approval general tab update customer information π quick reference need help with terminology? check our januscrm glossary & acronym index for definitions of all terms used in this documentation
