π― purpose to give the data team full control over when clients are permanently removed from the payroll dashboard this process finalizes the client lifecycle by transitioning them from cancelled (bound) to terminated , ensuring that all removals are reviewed, validated, and logged for compliance and reporting accuracy π description this task replaces the legacy automated friday 4 00 pm cancellation job with a manual, review based process managed by the data team the new workflow allows for validation, precise timing, and complete documentation before clients are permanently removed the terminated clients report is processed on the 1st and 15th of each month , capturing all clients who have reached their formal cancellation date and remain in cancelled status with an active bound lead card π reference for the complete overview of how clients reach cancelled status, see the pending cancellation & cancellation workflow β end to end system overhaularticle βοΈ requirements interface accessible in the reports tab on the left hand navigation menu under β‘οΈ data reports β carrier terminated report filter criteria date range based on the terminated at date (typically last 14 days) displays all clients meeting both of the following cancelled payroll customer status bound lead card status review process select the desired date range and click generate terminated list review the client details displayed β including carrier , effective date , and reason for termination use multi select to choose all or specific clients for processing click process selected to execute final cancellation once processing is complete and the system confirms that the selected clients have been cancelled, a termination report is automatically generated and emailed to you with the list of those clients to download a list of clients previously terminated no longer on the payroll dashboard, click the send button the system will generate the termination report and email it to you automatically system behavior removes selected clients from the payroll dashboard updates the lead card status to either cancelled (standard) or terminated (finalized removal) generates and emails the termination report to the data team distribution list logs all actions β including user , timestamp , and client id β for audit tracking automatically cancels any open customer requests linked to the data dashboard and sends a tracking summary to daniela triggers employee termination emails for all employees tied to the cancelled clients β
