access level manager (full access), payroll advisor (view only) module leads lead card in this area, the accounting tab serves as the space where users can find the client's billing information, charge history, and bank account payment methods payment methods this section allows users to view and manage all card payments submitted by a client for billing purposes within this tab, users can review each card's information change the card's purpose to initial cost , payroll invoice , or one time payment admin users have additional capabilities archive card payments view detailed card logs for tracking and auditing purposes add card payment users can assist customers in updating their payment methods by selecting the purple "add card payment" button located on the right side of the screen a pop up will appear where users can fill in the necessary information there are two types of fields manual input fields (type directly into the field) card number city billing address dropdown select fields expiration month expiration year send recurring payment form located next to the add card payment button, this option allows users to send a recurring payment form to the customer to send the form select the send recurring payment form button choose the appropriate contact β
success a green confirmation message will appear in the upper right corner when the form is successfully sent for more information about this process, see the recurring payment form documentation actions users can perform the following actions view raw card information delete set as initial cost card default card used for automated payroll billing through the payroll dashboard set as invoice payment card card used for initial setup, sales, or onboarding fees view card action logs β οΈ warning credit card deletions directly logged! how to change the purpose of a card users can change the purpose of a card by clicking either the "set as initial cost" or "set as invoice payment" buttons directly on the card cards with the purpose "one time payment" are eligible to be updated to either "invoice payment" or "initial cost" however, cards that were not originally submitted as "one time payment" cannot be changed to another purpose β οΈ warning cards already marked as "initial cost" cannot have their purpose changed if the purpose needs to be corrected, the card must either be resubmitted by the client , or be manually added with the correct purpose by using the "add card payment" button (available only to billing and admin users) with manager approval additional information clients with a payment method of "credit card" or "credit card amex" may have up to 10 different cards saved in their profile admins, billing team, and customers themselves can all delete credit cards users can manually add a card if the customer submits information by email or paper form users can also send a recurring payment form if needed charges the charges section provides a comprehensive record of all payment transactions, including successful and failed attempts, ensuring full billing transparency key features view all past transactions identify payment patterns or issues download reports filter charges by approved or rejected status void or refund initial cost charges voiding initial cost charges users can now void or partially refund initial cost charges to void or refund an initial cost charge locate the initial cost charge in the charges section select actions β void/refund choose to void cancel the entire charge partial refund enter refund amount confirm the action β
