access level data processor (full access), payroll advisor (edit) module data dashboard employees initially complete the w 4 form during their application process if updates are needed after onboarding, such as changes to tax withholding, the employee must submit a new w 4 form these updates directly impact the w 2 issued at year end βΉοΈ note users can send the w 4 form to employees by selecting the actions button within the employee sub tab under the enrollment tab on the lead card sort logic by default, the list is sorted by service tier in the following order enterprise whiteglove express users can adjust the order by sorting the list using the due at column as needed request list the main panel displays all separation notice requests based on the current filters each row includes business name customer's business name client status β new client or active client request type β always "w4" assigned β user assigned to the request status β new, in progress, completed due at when it needs to be completed status indicators each w 4 request includes a status indicator to track its progress new β recently submitted and not yet reviewed in progress β currently being worked on completed β successfully processed and confirmed rejected β declined with a reason provided notes & activities this section contains a chronological activity log system generated records of creation and assignment user actions and timestamps a field for internal notes (not visible to clients) task routing once the employee completes the form, a task is automatically created in the data dashboard under the w 4 tab this task is auto assigned to the user designated to process w 4 updates processing and completion users should mark the task as in progress and then process the w 4 update in the prosoftware once completed, select mark complete a confirmation email will automatically notify the employee of the successful update rejecting a request users can reject the request if a w 4 form is invalid or incorrect upon clicking the reject button, a modal will appear prompting the user to select a rejection reason incomplete status (1c) invalid ssn test (it/pms) user for internal test requests once submitted, an email will be sent to the employee explaining the rejection and requesting a new submission admins can add additional reason options by navigating to the data dashboard configuration tab next steps read on the next workspace in data tabs called new client to continue your journey π quick reference need help with terminology? check our januscrm glossary & acronym index for definitions of all terms used in this documentation questions about permissions? review the user roles & permissions matrix to understand access levels
