โ ๏ธ important warning this feature will not take effect unless the wire bypass setting is explicitly enabled if the setting remains disabled , wire clients will continue to follow the standard payment confirmation process with no changes to their workflow always confirm the setting is turned on before expecting any changes in behavior ๐งฉ what is it? the wire bypass feature makes it easier to manage clients who pay by wire transfer it allows payroll to be processed immediatelyโwithout waiting for wire confirmation upfrontโwhile still tracking the payment status behind the scenes โ ๏ธ important this feature should only be used for very specific clients it must be pre approved by management and stakeholders before it is enabled for any client โ
enabling the wire bypass setting ๐ access restriction wire bypass can only be enabled by users with administrator permissions non admin users requiring wire bypass must request an administrator to enable it youโll now see a new wire bypass setting in two places on the payroll customer under customer > details on the payroll card once enabled, the system recognizes the client as paying by wire and adjusts the payroll processing accordingly note if this setting is enabled mid week, users must manually enable wire bypass for each active payroll record currently on the payroll dashboard under the details tab it does not apply retroactively users can also remove the wire bypass setting from individual payroll records if neededโreverting the record to standard wire processing and allowing it to remain on the billing tab to permanently disable the feature, the setting must be turned off on the clientโs profile ๐ automatic email reminders if the wire payment is still pending after payroll is finalized, the system will automatically send reminder emails to the client day 1 friendly reminder day 2 more urgent follow up day 3 final warning one email is sent per business day (mondayโfriday) emails are sent in english , depending on the clientโs language preference ๐งพ how payroll works for wire bypass clients for clients with wire bypass enabled, payroll is processed the same way as usualโonly the system behavior changes behind the scenes hereโs what happens after payroll is completed, the record skips the billing tab and moves straight to delivery the client receives the payroll finalized email with a note indicating their wire payment is still pending payroll finalized email example a wire pending flag is added to the payroll record this flag will remain visible until the payment is marked as received appear on any new payroll records for the client until the wire is confirmed ๐ณ marking a wire as received to clear the wire pending flag and confirm receipt of payment go to the payroll history tab on the payroll card locate the payroll record click the wire received button once clicked the record will update to show that the wire has been received the flag will be removed from this and any other pending records for the client โ if the client has multiple payrolls with pending wires, each record must be marked as received individually for full clearance ๐ ๏ธ troubleshooting & support if you experience issues with the wire bypass workflow, here are a few helpful steps to try before escalating common issues & fixes payroll is still showing in billing tab โ double check that wire bypass is enabled on both the payroll customer and individual payroll record if the setting was turned on mid week wire pending flag not clearing โ ensure youโre marking the payment as received using the wire received button in the payroll history section all outstanding records must be marked individually client didnโt receive reminder emails โ confirm that the clientโs primary email is accurate and not opted out reminder emails send once per business day for three consecutive days wire bypass setting not available โ only admins, payroll adviors and super users have access to enable this setting if you donโt see the option, escalate to your team lead still need help? if you've confirmed the settings and the issue persists, please open a ticket with the it help desk include the following details to help us investigate faster client name payroll record date(s) screenshot of the issue (if applicable) description of what you expected to happen vs what actually occurred
